Reporting & Exports
GrackerAI data is most valuable when shared with stakeholders who don't log into the dashboard every day. This guide covers where to export from and how to build reports that drive action.
Where to Export From
| Page | Export Format | Best For |
|---|---|---|
| Prompts | CSV | Quarterly reviews, agency handoffs, backup before bulk edits |
| Responses | XLSX | Sentiment audits, content gap analysis, competitive intel |
| Citations | XLSX | Authority mapping, outreach target lists |
| Analytics | Chart screenshots | Leadership and board reports |
Filter first, then export. The export includes only the rows currently visible after your filters are applied. A filtered export of 30 rows is almost always more useful than a full dump of 2,000.
Three Standard Reports
1. Weekly Status
Audience: Your team · Time: 5 min · Format: written up manually and shared over chat or email
- Visibility score this week vs last week
- Top 3 prompts where visibility moved up or down
- 1 specific action taken this week
- 1 specific action planned for next week
Keep it tight - one paragraph or five bullet points maximum
2. Monthly Leadership Report
Audience: VP or CEO · Time: 15 min · Format: Slide or PDF
- Screenshot Visibility Score Trend from the Analytics dashboard
- Pull Share of Voice vs your top 2 competitors
- List 3 wins - specific content pieces or placements that earned citations this month
- List 3 gaps - where competitors are pulling ahead
- List any asks - resources, headcount, or budget needed to close the gaps
Raw numbers without context rarely change minds. Lead with the story and use data as evidence.
3. Quarterly Business Review
Audience: Board or executive team · Time: 60 min prep · Format: Presentation
- 90-day Visibility Score trend with annotations on content launches and competitor moves
- Citation authority map - who owns the top 15 citation sources in your category
- ROI summary - content investment, citation outcomes, pipeline impact
- Strategic priorities and resource asks for next quarter
Useful Filter Combinations Before Exporting
| What to Export | How to Filter |
|---|---|
| Competitive intel for sales | Filter Prompts by Group → Comp-[CompetitorName] |
| Content priorities for your team | Filter Responses to 0% visibility + commercial intent |
| PR target list | Filter Citations to source type → News/Media |
| Sentiment audit | Filter Responses to Sentiment → Negative |
| Outreach prioritisation | Filter Citations by occurrences → highest first |
Sharing With Non-GrackerAI Users
For analysts: XLSX exports work well.
For executives and stakeholders who don't read raw data:
- Annotated screenshots of key charts with your commentary
- A 1-page summary - 3 to 5 bullet points with the headline number and what it means
- A short video walkthrough showing one specific finding and what action it suggests
Always lead with the business implication, not the metric. "We're invisible on 60% of competitor comparison prompts" lands harder than "our visibility score is 12%."
