Setting Up AI Monitors: A Complete Guide

Each monitor is a focused group of prompts that runs on a schedule and reports where your brand is mentioned, where competitors are mentioned, and where there's silence to close.

This guide walks you through how to think about monitors, how to allocate them across your buyer's journey, and what to set up in your first week. Examples throughout use B2B SaaS and cybersecurity scenarios, since those are the verticals GrackerAI is built for.


How Monitors Work

A monitor is a saved configuration of:

  • A persona (who is asking)
  • A location and language (where they're asking from)
  • A frequency (daily, weekly, or monthly)
  • A set of prompts (the actual questions)
  • A set of AI models (which engines to query)

Each time the monitor runs, GrackerAI sends every prompt to every selected AI model and records whether your brand was mentioned, which competitors were mentioned, and which sources were cited. Over time, you see trends — which prompts you're winning, which you're losing, and where competitors are pulling away.

The most common mistake is creating one giant monitor with twenty mixed prompts. You lose the ability to diagnose where you're invisible. Smaller, focused monitors give you cleaner signal.


The Five Monitor Types

Every effective monitor falls into one of five types. Allocate your monitor budget across all five — don't put everything into one.

1. Brand Monitors

These track how AI engines describe your company directly. Think of them as your reputation early-warning system.

What to include: Your company name, common misspellings, "is [brand] legit," "[brand] reviews," "[brand] pricing," "[brand] vs [main competitor]."

Example for a B2B SaaS authentication platform:

Why it matters: If AI engines start describing you inaccurately or stop mentioning you in queries that used to surface you, you need to know within 24 hours. These should run daily.

How many: 4–6 monitors covering core awareness, reviews/trust, pricing, compliance/certifications, and your top 1–2 use cases.

2. Competitor Monitors

These capture buyers who are actively considering one of your competitors. This is where switcher intent lives.

What to include: "[competitor] alternatives," "tools like [competitor]," "[competitor] vs [you]," "[competitor] pricing," "is [competitor] worth it."

Example for a B2B observability platform competing with Datadog:

  • "Datadog alternatives for mid-market SaaS"
  • "Cheaper alternatives to Datadog"
  • "Tools like Datadog with better Kubernetes support"
  • "Datadog vs New Relic vs your-product"
  • "Best Datadog competitors for cost-conscious teams"

Example for a cybersecurity SIEM vendor competing with Splunk:

  • "Splunk alternatives for cloud-native environments"
  • "Cheaper alternatives to Splunk Enterprise Security"
  • "Tools like Splunk with better SOAR integration"
  • "Splunk vs Sentinel vs Elastic for SOC teams"

Why it matters: When someone asks ChatGPT "what are alternatives to Splunk," you want to be in that response. Tracking this prompt set tells you whether you're being recommended as an alternative or whether AI is sending those high-intent buyers somewhere else.

How many: 8–12 monitors — one per major competitor, plus one "multi-way comparison" monitor that tracks queries like "best SIEM tools 2026" or "Splunk vs Sentinel vs Chronicle." That last one is critical because it's where AI engines crown category winners.

3. Category Monitors

These track the broad listicle and "best of" queries that drive most AI-generated recommendations.

What to include: "Best [category] tools," "top [category] platforms," "most affordable [category] software," "[category] tools for [vertical]."

Example for a B2B CRM platform:

  • "Best CRM software for B2B SaaS startups"
  • "Top CRM platforms for sales-led companies"
  • "Most affordable CRM with HubSpot-level features"
  • "Best CRM tools for product-led growth companies"
  • "CRM platforms ranked for mid-market"

Example for a cybersecurity vulnerability management vendor:

  • "Best vulnerability management tools 2026"
  • "Top vulnerability scanners for cloud workloads"
  • "Best CNAPP platforms for AWS-heavy environments"

Why it matters: This is the largest organic surface area for citations. If your product isn't named when someone asks "what's the best vulnerability scanner for a healthcare SaaS," you're invisible to a huge slice of demand.

How many: 5–8 monitors covering your category from different angles — by use case, by price tier, by company size, by buyer role.

4. Vertical or Niche Monitors

These capture the specific industry, geography, or specialty where you have the strongest right to win.

What to include: Industry-specific listicles ("best tools for fintech startups"), geography-specific queries ("best [category] platform UK"), or specialty queries that map to a real differentiator.

Example for a B2B SaaS platform with strong healthcare presence:

  • "Best CRM for HIPAA-compliant healthcare startups"
  • "HITRUST-certified marketing automation tools"
  • "Healthcare SaaS platforms with EHR integrations"
  • "Best customer engagement tools for telehealth companies"

Example for a cybersecurity vendor specializing in financial services:

Why it matters: These prompts have less competition and your domain authority compounds faster. If you're a healthcare-focused CRM, you should dominate "best CRM for healthcare" before chasing "best CRM."

How many: 3–5 monitors per major vertical or specialty.

5. Problem-Aware Monitors

These capture top-of-funnel buyers who haven't yet learned the category language. They're describing a symptom, not searching for a tool.

What to include: "How to [solve problem]," "why is [thing] happening," "best way to [accomplish job]," "[specific pain] for [persona]."

Example for a B2B SaaS analytics platform:

  • "Why is my SaaS churn rate increasing?"
  • "How to identify which features drive retention"
  • "How to set up product analytics from scratch"
  • "Best way to track activation in a B2B SaaS product"
  • "How to measure PMF in early-stage SaaS"

Example for a cybersecurity platform:

Why it matters: AI engines often answer these queries with educational content that mentions specific tools. If you're cited in those educational answers, you're the first vendor name a buyer encounters — before they even know they're shopping.

How many: 4–6 monitors covering the most common pain points your product solves.


How to Allocate Your Monitors

A useful starting allocation for a 30-monitor budget:

How to Set Up Each Field

Monitor Name

Use a structured naming convention so you can filter and report later. The format that scales well:

[Type]-[Theme]-[Specifier]

Examples:

When you have 30+ monitors, this convention is the difference between a usable dashboard and a mess.

Target Persona

Pick the persona who would actually type that prompt. The same product gets researched very differently by different roles.

For B2B SaaS, the personas that typically matter:

  • Economic buyer (CFO, VP of Engineering) — asks pricing, ROI, and contract questions
  • Champion (Director of Product, Engineering Manager) — asks integration, feature, and use-case questions
  • End user (developer, product manager, sales rep) — asks day-to-day workflow questions

For cybersecurity, the persona splits matter even more:

  • CISO — asks budget, board reporting, vendor risk, compliance framework questions
  • Security Engineer / SOC Analyst — asks technical capabilities, integration with existing stack, false positive rates
  • Compliance Officer — asks audit-readiness, framework coverage, evidence collection
  • IT/Infrastructure Lead — asks deployment, performance impact, scalability

If you sell to multiple personas, create parallel monitors for the same topic across personas. A CISO and a SOC analyst ask completely different questions about the same EDR product. You'll see which audience AI engines surface you to, which is often more revealing than the aggregate score.

Country and Language

Default to your primary market. Don't try to cover everything in one monitor — AI responses genuinely vary by region, especially for Gemini and AI Overview. A US-only score hides EMEA invisibility, and vice versa.

If you sell globally, set up your top monitors in your primary market first, get a clean baseline over two weeks, then clone the top-performing ones to your secondary markets. Compliance and regulation prompts only make sense scoped to that geography anyway — "GDPR-compliant DLP tools" is a UK/EU prompt, "HIPAA-compliant" is a US prompt, "DPDP Act compliance" is an India prompt.

City

Leave this blank for almost everything. Only fill it in if you sell location-specific services or have a campaign targeting a specific metro. For most B2B SaaS and cybersecurity use cases, country-level is sufficient. An exception worth noting: if you're targeting "cybersecurity vendors in [financial hub]" — say London, New York, or Singapore — a city-level monitor makes sense.

Monitoring Frequency

Match frequency to how fast the signal moves and how much it matters:

  • Daily — Brand monitors and your top 2–3 competitor monitors. Also any monitor tied to active threats or CVEs (cybersecurity teams should run "best tools to mitigate [active CVE]" daily during an active campaign). The signal moves fast and you want to detect mention loss within 24 hours.
  • Weekly — The default for almost everything else. Citations don't shift dramatically week-to-week, and weekly gives you cleaner trend lines than daily.
  • Monthly — Evergreen, slow-moving prompts. Compliance content, deep niche queries, secondary geographies. They're stable and burning weekly checks on them wastes the quota.

Prompts

Prompts are the highest-leverage field. A few rules that consistently work:

Mirror real AI queries, not search keywords. AI users type full questions: "What's the best EDR for a 500-person healthcare SaaS that needs HIPAA compliance?" not "best EDR healthcare." Length and specificity are features, not bugs. If you wouldn't paste it into ChatGPT, don't put it in a monitor.

Use 4–5 prompts per monitor. Fewer than 4 gives you thin signal. More than 5 makes it hard to attribute movement to specific prompts when scores change. If a monitor's theme really needs more prompts, split it into two monitors.

Mix prompt archetypes within each monitor. A good blend for most monitors:

  • Listicle — "Top 10 SIEM tools for cloud-first companies"
  • Comparison — "your-product vs Splunk for SOC teams"
  • Alternative-seeking — "CrowdStrike alternatives," "tools like Datadog"
  • Use-case specific — "Best EDR for ransomware prevention in healthcare"
  • Trust/validation — "Is your-product SOC 2 compliant?" "your-product reviews from CISOs"

Write prompts the way buyers actually ask. Include their context — company size, industry, integrations, compliance requirements, budget tier.

Weak prompt: "Best vulnerability scanner"

Strong prompt: "Best vulnerability scanner for a 200-person fintech that needs SOC 2 and PCI DSS coverage and runs on AWS"

Special note for cybersecurity: Add CVE and threat-event prompts to your monitor mix. Queries like "best tools to mitigate CVE-2026-XXXX" or "[breach name] response tools" are uniquely valuable because they're high-urgency and AI engines pull from authoritative sources fast. If you publish CVE analysis or breach response guides, these prompts are where that content earns citations.

AI Models

You don't need to select all available models on every monitor. Each model adds a query cost and noise to your dashboard. Pragmatic defaults:

  • Always include: ChatGPT, Perplexity, Claude, Gemini. These cover the majority of B2B research behavior today. Claude over-indexes for technical, developer, and security audiences — important if your buyers are engineers or security practitioners.
  • Add for category and listicle queries: AI Overview. Google AI Overview surfaces in roughly 16% of all searches, and listicle/best-of queries are exactly where it shows up.
  • Add for enterprise plays: Microsoft Copilot. Disproportionately important if you sell into Microsoft-heavy organizations — which most cybersecurity buyers are. Add Copilot for any monitor targeting enterprise security teams.
  • Defer until your monitor base is mature: Grok and AI Mode. Lower B2B share of voice today. Worth tracking for awareness later, not in your initial setup.

For a B2B SaaS company selling to mid-market: ChatGPT, Perplexity, Claude, Gemini, AI Overview is the right starting set.

For a cybersecurity vendor selling to enterprise: ChatGPT, Perplexity, Claude, Gemini, AI Overview, Microsoft Copilot. Don't underweight Perplexity and Claude — security practitioners use them heavily for research.


A Suggested First-Week Setup

If you're starting from zero, don't try to set up 30 monitors on day one. Start with 10 high-priority monitors, run them for two weeks, then expand based on what you learn.

A good starter set for a B2B SaaS company:

  1. Brand-Core-Awareness (daily) — "What is your-product," "is your-product legit," "your-product company info"
  2. Brand-Reviews-Trust (daily) — "your-product reviews," "is your-product worth it," "your-product G2 reviews"

  2. Brand-Compliance-Trust (daily) — "Is your-product SOC 2 compliant," "your-product FedRAMP status," "your-product ISO 27001"
  3. Brand-Reviews-CISO (daily) — "your-product CISO reviews," "your-product analyst reports," "your-product Gartner placement"
  4. Comp-TopRival-Alternatives (daily) — "[top competitor] alternatives for [your differentiator]"
  5. Comp-Multi-Way-Comparisons (weekly) — "best [category] 2026," "[A] vs [B] vs [C] for SOC teams"
  6. Cat-Best-Of-Primary (weekly) — "best [category] tools," "top [category] platforms for enterprise"

  10. Prob-Audit-Readiness (weekly) — "How to prepare for [audit type]," "what auditors look for in [framework]"

Run these for two weeks. Look at which prompts are surfacing competitors but not you — those gaps tell you exactly where to expand. Add 5–10 more monitors targeted at the gaps, not at hypotheses.


Reviewing and Maintaining Your Monitors

Set a recurring 6-week review of your full monitor set. At each review, ask:

  • Which monitors show 0% brand presence AND no movement over 6 weeks? These are dead — either the prompts aren't being asked, or your content can't compete on them. Retire them and replace with new hypotheses.
  • Which monitors show competitors gaining share? These are urgent — analyze what AI engines are citing in those responses and address the content gap.
  • Which prompts within a monitor are dragging down the average? Sometimes 4 of 5 prompts perform well and 1 drags. Replace that one prompt rather than the whole monitor.
  • Are there new competitors AI engines are now citing? Add them. New entrants in your category will appear in AI responses before they appear in your sales pipeline. This is especially true in cybersecurity, where new vendors emerge constantly around new threat categories.
  • For cybersecurity teams: are there new CVEs or breach events worth a temporary monitor? Spin up short-term monitors during active campaigns and retire them when the news cycle ends.

Don't treat monitors as set-and-forget. The AI search landscape moves fast, and your monitor set should evolve with it.


Common Mistakes to Avoid

Selecting all AI models on every monitor. This wastes query budget and adds noise. Pick 4–5 models that match the prompt type and your buyer's behavior.

Running everything daily. Daily is for high-stakes, fast-moving queries — brand, top competitors, active threats. Most monitors should run weekly. You'll get cleaner trend data and save budget for monitors that actually need daily checks.

Writing keyword-style prompts. "Best EDR healthcare" is a Google search. "What's the best EDR for a 500-person healthcare SaaS that needs HIPAA?" is what a buyer actually asks an AI. Always write in full natural-language questions with real buyer context.

Mixing unrelated prompts in one monitor. A monitor with five prompts about pricing, reviews, alternatives, use cases, and integrations will give you a meaningless aggregate score. Split into focused monitors.

Forgetting to monitor competitor-vs-competitor queries. "Splunk vs Sentinel" responses often list a third option as the best alternative. You want to know whether that third option is you. This is one of the highest-leverage monitors in any setup.

Ignoring persona splits. A CISO and a SOC analyst ask completely different questions about the same EDR product. A CFO and a Product Manager evaluate the same SaaS tool through totally different lenses. If you only run one persona, you're optimizing for half your buying committee.

Setting up monitors and never reviewing them. A 6-week review cadence is the minimum. The set you create today is wrong in some way; the only question is which way, and reviews surface that.
